- What is Galaxy?
- Galaxy is an all-in-one business app (an ERP) for growing businesses: CRM, invoicing, inventory, purchasing, payroll, attendance, accounting, projects, helpdesk, chat and mail, working together on the web and on Android and iPhone.
- How much does Galaxy cost?
- Galaxy is free during its 6-month beta, with every module included and no card required.
- Is Galaxy built for Kenyan businesses?
- Yes. It handles Kenyan VAT, PAYE, NSSF, SHIF and the Housing Levy, works in Kenya shillings and other currencies, and is available in English and Swahili.
- Is there a phone app?
- Yes. The Galaxy app for Android and iPhone covers the day-to-day work, from invoices and stock to chat, mail and clocking in, and keeps working offline.
- Does Galaxy do my bookkeeping?
- Galaxy posts every sale, purchase, payment, expense, payroll run and stock movement to the books automatically, so the ledger, VAT and reports are kept as you work.
- Can I run more than one business?
- Yes. One account can belong to several businesses and switch between them; notifications say which business they are from.
- Can I turn off modules I do not need?
- Yes. Switch on only the modules you use and add the rest as you grow.
- Is my data private to my business?
- Yes. Every business’s data is kept separate, and each member sees only what their role allows.
Accounting
- Do I have to enter journal entries myself?
- No. Sales, purchases, payments, expenses, payroll and stock all post to the ledger automatically. Manual journals are there for the rare adjustment.
- Does Galaxy handle Kenyan VAT?
- Yes. Sales tax and purchase tax are kept apart as output and input VAT at the rates you set, so the VAT you owe each month comes straight from the books.
- Can my accountant work in Galaxy?
- Yes. Invite them as a member with the access they need; they see the same ledger, reports and reconciliations you do.
Invoicing
- Can I send a proforma invoice first?
- Yes. Send a proforma, take a deposit against it, then issue it as the tax invoice when the sale is final; the deposit carries over.
- Can customers see their invoices online?
- Yes. The client portal shows each customer their own invoices to view and download.
Inventory
- Can I track phones or devices by IMEI?
- Yes. Turn on IMEI tracking for a product and each unit is recorded by its IMEI, with the check digit verified, from receipt to sale to warranty.
- Can I count stock with my phone?
- Yes. The Galaxy phone app scans barcodes with the camera for stock counts and lookups.
Payroll
- Which Kenyan deductions does Galaxy calculate?
- PAYE, NSSF, SHIF and the Affordable Housing Levy, on every payslip.
- Can employees see their payslips?
- Yes, once a payroll run is published, each employee sees their own payslips.
Attendance
- Can I see where staff clocked in?
- Yes. Each punch records its location; set your office pin and radius and punches outside it show as "Outside office" with the distance.
- Can attendance records be changed without anyone knowing?
- No. Every change is recorded with who made it, and a change made outside Galaxy, straight in the database, is shown as such.
CRM
- Is the CRM connected to invoicing?
- Yes. A customer’s quotes, invoices and payments sit on their record, next to deals, mail and tickets.
Projects
- Can I track time on tasks?
- Yes. Log time on any task and see the totals per project.
Chat
- Does chat work on the phone?
- Yes. The Galaxy phone app has the same conversations, with notifications.
- Which email providers work?
- Gmail, Zoho and iCloud mailboxes connect directly. Mail from other providers can be copied into Galaxy through the shared BCC address.
Helpdesk
- Can I write help articles for customers?
- Yes. The knowledge base holds articles your team writes, published to whoever you choose.
HR
- Can I manage hiring in Galaxy?
- Yes. Post jobs, track candidates through each stage, schedule interviews, make offers and turn a hire into an employee record.
Purchasing
- Does receiving goods update stock?
- Yes. Receiving against a purchase order adds the stock and posts it to the books.
